Sonora Logic
Group benefits

One of four Sonora Logic services.

Alongside your broker, never instead of them.

Nobody is watching the enrolment window.

Past roughly 25 employees, someone becomes your group benefits plan administrator by accident. No licence, no exam, no training — a portal login and a stack of PDFs. We build the system that catches what falls through.

AfterEmployer liability

Most administrators don't know which window they have. Miss it and the employee waits for the next re-enrolment — which, on a traditional plan, never comes. Nothing alerts you. The window simply closes.

Policy-specificEnrolment windows run 30, 31 or 60 days. Every date in your system is set from your actual contract at go-live.

Three parties. Two of them have a defined job.

The insurerGives you a portal
And a policy document. Their obligation ends at the platform — they process what you submit, correctly or not.
The brokerHandles the plan
Design, rates, carrier, renewal. Licensed for exactly that work. Checks in when the contract does.
In betweenHas no owner
Enrolments inside the window. Terminations on the correct effective date. Dependent and beneficiary updates. Conversion rights communicated in time. A paper trail that survives an audit.

That gap is an employer liability, not an inconvenience.

Execution and documentation hygiene. Nothing else.

1Plan Admin Audit
We map what your company actually does against the full administrative cycle — onboarding, mid-year changes, offboarding, renewal — and flag the liability hotspots. Findings, not opinions.
2SOP system
Written procedures your admin can follow on a busy Tuesday. Every deadline is a blank filled from your actual policy — never a number we assumed. Every procedure ends with when to escalate to your broker.
3Tracking system
A Notion system of record with n8n automation that flags every deadline before it lapses. Built as part of delivery, not sold to you later as an add-on.
4Ongoing execution
Co-managed or fully managed. Monthly audit of the enrolment and termination record, renewal coordination, and an outside set of eyes on the file.

What we never do.

This boundary is deliberate. It is what makes us safe to bring into a room that already has a broker in it.

1No licence, no advice.
We are not an insurance broker and hold no AMF licence. No advice on plan design, coverage selection, rates, carrier choice, or claims adjudication. That work stays with your broker, where it belongs.
2No revenue from your plan.
We earn nothing from your plan and cannot place business. Our only revenue is the fee you pay us directly.
3Minimal data, by design.
We hold operational metadata — names, dates, status, task flags. Never SIN, health information, claims, dependent details, or beneficiary designations. Those stay in the insurer's own compliant system. If your legal team requires Canadian residency for the automation layer, we self-host it in ca-central-1.

Three steps, in this order.

01Health Check
25 questions across six sections, filled in before we speak. You score it yourself. The first section asks for plan facts you should be able to answer without looking anything up — a blank there is itself a finding.
02Audit and build
We map your real practice, flag the hotspots, write your SOPs, and stand up the tracker configured to your policy's actual windows and effective-date rules. Then we train your admin on it.
03Run it
You execute and we catch the misses, or we execute end to end. Either way there's a monthly audit and a record that survives someone asking hard questions two years from now.

See limit 2Nothing here is contingent on your plan, your carrier, or your renewal. Canadian dollars, no per-employee fee.

Plans.

Who this is built for.

A fit

  • 30–75 employees, with a group plan already in place
  • $150K–$500K in monthly revenue
  • Plan administration sits with an HR generalist, an office manager, or you
  • You have a broker and intend to keep them
  • Québec or elsewhere in Canada — English and French

Not a fit

  • You want advice on coverage, rates, or which carrier to choose
  • You're looking to replace your broker
  • You don't have a group plan yet
  • You want someone to argue a denied claim on your behalf

The four questions everyone opens with.

We already have a broker.
Good — keep them. Your broker owns the plan; we own the paperwork that runs it. We don't quote, place, or advise, and we're paid only by you — see limits 1 and 2. Most brokers read this as relief: the administrative questions they field for free stop landing on their desk.
Why not just have our HR person handle it?
They already are. The question isn't whether someone is doing it — it's whether they have a written procedure, a deadline that alerts on its own, and a record that holds up when someone asks two years later. Most failures here aren't knowledge failures. They're attention failures on a busy week.
Does this work with our specific plan?
Yes, because nothing is hard-coded. Enrolment windows run 30, 31 or 60 days depending on the policy. Traditional plans have no annual re-enrolment; flex plans do. Staircase and lock-in rules restrict what can change and when. Every one of those is set from your actual policy at go-live, not assumed.
Where does our data live?
Operational metadata only — names, hire dates, status, task flags. Never SIN, health or claims information, dependent details, or beneficiary designations; those stay in the insurer's own compliant system. That's still personal information under Law 25, so a transfer impact assessment and DPA are part of onboarding. If your legal team requires Canadian residency for the automation layer, we self-host it in ca-central-1.
